About managing lottery allocated tickets

In order for the organizer to allocate applicants to "selected" and "not selected", go to "Lottery Assignment Management" under "Detailed ticket settings".

In the "Lottery assigned ticket" column of the "Detailed ticket settings", click the "Manage Lottery Assignment" button.


Screen Details

Lottery Assignment Status

  • Total tickets applied for:
    This is the total number of ticket applications. If 1 person has applied for two tickets, this will be counted as 2 tickets for the total.
  • No. of applicants:
    The number of applications received.
  • Lottery assignation:
    From the applications received, the total that are successful.
  • Not selected:
    From the applications received, the total that failed.
  • Not set:
    From the applications received, the total not yet assigned to "selected" or "not selected".

 

List

  • Applicant name:
    The name of the person who applied for the ticket
  • Applicant's email address:
    The email address of the applicant
  • Date of order:
    The date and time that the ticket was applied for
  • Status:
    Lottery allocation status
  • Ticket:
    You can view the registration information of the person who applied for the ticket
  • Notifications
    You can view the number of success/failure notification messages that have been sent

How to search for applicants

If you click on "Advanced Search" the advanced search screen will appear.

Advanced Search

  • Display No.:
    You can select the number of items (10/25/50/100) displayed on each page of results.
  • Date of order:
    You can refine the search based on the application day and time.
  • Order No.:
    You can search for the order number starting with "P" as in "P0000000000000".
  • Lottery status:
    You can search based on the lottery allocation status such as "Successful"
  • No. of tickets per application
    You can refine the search by the number of tickets applied for per order.
  • Number of notification emails sent
    For example, if you set this to "0" ~ "0", you can refine your search to applicants who have not received any email notifications.
  • Place of work/School name search
    Search based on work information. The search is based on relevance.

How to view the content of applications

Click on the name of the person in the "Applicant's name" colum to view the application information.

Applicant data will be displayed. Here, you can view attendee information. Things such as surveys will be contained in attendee data.

 
By clicking in the "ticket" column, we can view attendee information.

In the case that 1 person has applied for 3 people, 3 people's worth of information will be displayed.

* Judgment of success/failure is per applicant. For example, if 1 person has applied for 3 people, you can't set 1 person to "not selected" and the other 2 people to "selected".

Inserting checks is only applicable for each page. If you take no action and proceed to the next page of results, the checks that you inserted on the previous page will be removed.


Setting to "selected"

Place a check in the check box next to the applicants name who you would like to set as "selected", then click the "Lottery Assignation" button. (or select "Set to selected" from the pull down and then click "Execute".

A dialog box will be displayed, so click "OK".

Check that the status has changed to "Lottery Assignation".

* At this point, the "selected" email notification has not been sent yet.


Sending the "Selected" notification email

* As with other types of notification email, after the success notification email has been sent, please do not change the application status of that applicant.
If the same applicant receives both success and failure notification emails, this may cause problems.

 

Place a check in the check box to the left of the applicants to whom you would like to send the "success" notification to, and then select "Send Lottery Success Notification Email" from the pull down, then click "Execute".

A confirmation screen will be displayed. After completing each setting, click the "Send with this content" button.

  • Comment from the event organizer
    Here, you can put a personal message to the successful applicants.
  • Send schedule
    If you want to schedule a time to send the notification, you can specify a time here.
  • Send test email
    Put your own email address here and click the "Send test" button to send a test email to your email address.
    After you press the "Send test" button, the screen will not change.

 

When you return to the list screen, check that the "number of notifications" has increased by 1.


Setting to "Not Selected"

To applicants we would like to reject, place a check next to their name and then click the "not selected" button. (or select "make not selected" from the pull down and click "Execute").

Click "OK" on the dialog box that is displayed.

Check that the status of applicants has changed to "Not Selected".


Sending non-selection email notifications

* As with other types of notification email, after the non-selection notification email has been sent, please do not change the application status of that applicant.
If the same applicant receives both success and failure notification emails, this may cause problems.


Place a check in the check box to the left of the applicants to whom you would like to send the "not selected" notification to, and then select "Send Non-selection Notification Email" from the pull down, then click "Execute".

A confirmation screen will be displayed. After completing each setting, click the "Send with this content" button.

  • Comment from the event organizer
    Here, you can put a personal message to the unsuccessful applicants.
  • Send schedule
    If you want to schedule a time to send the notification, you can specify a time here.
  • Send test email
    Put your own email address here and click the "Send test" button to send a test email to your email address.
    After you press the "Send test" button, the screen will not change.

 

When you return to the list screen, check that the "number of notifications" has increased by 1.


Selected email notification/Not selected email notification

When the event organizer sends a notification email informing applicants of success or failure, they will receive an email similar to those shown below.

 

●"Success" notification email for free ticket (A PDF ticket is attached and there is a download button for the PDF ticket on their My Tickets page.)

 

 

● "Success" notification email for non-free ticket (There is no PDF ticket attached and a link for the applicant to complete payment)

 

● "Not selected" notification email (same for both free and non-free events - no PDF ticket attached, on their My Tickets page, the status is shown as canceled)

 

● "Wait listed" notification email (same for free and non-free tickets)
